How to Plan a Travel Budget (and Stick to It Abroad)

A trip budget is what turns “we’ll see” into a vacation you can enjoy without checking your bank app every evening. Here is a simple method that works for a weekend away or a month abroad.
Step 1: Estimate the big four
Most of a trip’s cost comes from four categories:
- Transport to the destination (flights, trains, car rental, gas).
- Lodging (nightly rate × nights, plus cleaning fees and city taxes).
- Food (daily amount × days × travelers).
- Activities (tours, museums, day trips).
Then add the smaller ones: local transport, insurance, SIM card or roaming, shopping and souvenirs, tips.
Step 2: Set a daily budget
Divide food, local transport and spending money by the number of days. A daily number (“$110 per day for two”) is much easier to follow on the road than a trip total.
Step 3: Handle the currency
When traveling abroad, record expenses in the currency you paid and convert them to your home currency with the exchange rate. In Excel, with the rate in one cell (local currency per 1 USD):
=LocalAmount / Rate
Use the rate your card actually gives you (check one transaction) rather than the “market” rate.
Step 4: Track as you go
Log expenses every evening — two minutes with your receipts or card app. Comparing planned vs actual by category on day 3 lets you adjust in time (fewer restaurant dinners, one fewer paid tour).
Step 5: Know the cost per person
For group trips, the total ÷ travelers settles who owes what. It is also the number to tell friends when inviting them.
Hidden costs to remember
- Checked bags and seat selection
- Resort fees and city taxes
- ATM and foreign transaction fees
- Airport transfers
- Travel insurance
Keep the itinerary in the same file
A day-by-day list with time, activity, location, booking reference and cost means all your plans and confirmation numbers are in one place, even offline.
